POSITION SUMMARY

The Administrative Support role is crucial for overseeing the daily administrative duties of our afterschool program at Stevenson Middle School. Reporting directly to the Site Coordinator, the Administrative Support will be present on-site every day to manage administrative tasks and meet the requirements set by our funding sources: 21st Century Community Learning Center and UPLINK. This role ensures a safe, nurturing, and inclusive environment in line with our program's goals, contributing to the success of our students. The Administrative Support will also serve as the primary contact for families, assisting with communication, registration, and other needs. The Administrative Support will comply and adhere to all standards, policies, and procedures set by the YMCA of Honolulu.

ESSENTIAL FUNCTIONS AND JOB DUTIES

  • Assist with the daily setup and breakdown of the program to ensure smooth operations.
  • Direct parents and families to the appropriate staff members for any questions or concerns, providing excellent customer service.
  • Handle registration and withdrawal requests, ensuring accuracy and efficiency.
  • Accurately record daily attendance in accordance with YMCA of Honolulu procedures and funding requirements.
  • Collaborate with YMCA leaders and school administration to ensure all reports are accurate and detailed in data collection, narrative reports, and highlights for grant reporting and summaries, and submitted in a timely manner.
  • Develop and implement innovative solutions to improve administrative processes, aligning with YMCA of Honolulu procedures and funding requirements.
  • Attend all general and site staff meetings and training sessions and give input. Be open to criticism, suggestions, and training from other staff.
  • Assist with the responsibility to ensure all facilities, equipment, and supplies at the site are maintained/good/organized/clean.
  • Contribute to the development of our program by suggesting new ideas, participating in staff meetings, and providing feedback on program improvements.
  • Maintain accurate records of student attendance, progress, and incident reports.
  • Participate in ongoing quality improvement initiatives to ensure the highest standards of program quality and student success.

QUALIFICATIONS

Skills/Knowledge

  • Exercise mature judgment and sound decision-making.
  • Must demonstrate excellent attention to detail.
  • Customer service oriented with strong interpersonal skills, well organized and multi-tasked oriented.
  • Understanding of working with teens, group management, and group work.
  • Prefer knowledge of and previous experience with diverse populations.
  • Lead by example, serve as a model of professionalism and competency for peers and employees
  • Proficiency in Google Suite, Microsoft Office, Windows 10 and above, ActiveNet, Canva, preferred.
  • Ability to operate other software applications as required

Education/Training

  • High school diploma or equivalent required. Current enrollment in or graduation from a higher education program preferred.
  • Strong communication and organizational skills required.
  • Experience facilitating teen group activities preferred.
  • CPR, AED, and First Aid certified (training available upon hire).

This position and its pay are dependent on the availability of funds and continuation of the contracted program.
