Position Summary

In alignment with the mission and vision of the YMCA of Honolulu, the Administrative Director collaborates closely with fellow YMCA team members under the leadership of the Program Executive Director of Teens & Young Adults. This pivotal role provides direct assistance and oversight of all administrative duties, including but not limited to recruitment data, background checks and clearances, outcome and financial reporting data, documents relating to attendance, scheduling, registration, incident/accident reports, and behavior notifications. The Administrative Director is available to work with any and all state offices regarding any needed information or questions relating to the program.

Tasked with ensuring the seamless delivery of top-tier financial and grant reports, the Administrative Director operates with precision, adhering to established policies and procedures while strategically advancing the Association's overarching goals. The ideal candidate should demonstrate excellent attention to detail, grant management experience, leadership qualities, and should possess knowledge of private, public, and government grant requirements, and be on-site as needed. The Administrative Director plays a central role in fostering and fortifying invaluable relationships and partnerships with educational institutions, colleges, program offices and community organizations, thus helping facilitate the design and implementation of impactful opportunities at the Y.

Essential Functions

  • Utilize internal systems to create and compile monthly financial reports for all expenses relating to assigned programs.
  • Manage and supervise the overall daily clerical/business office operations for the 6th to 12th Afterschool and Summer programming across sites.
  • Ensure all reports are detailed, accurate and submitted in a timely manner.
  • Serve as the primary liaison between the state office and the YMCA, ensuring effective communication and alignment with the YMCA’s mission, core values, and goals.
  • Stay informed about trends and developments in philanthropy, grant funding, and nonprofit management.
  • Develops and implements best practices and systems to ensure proactive oversight and management, timely and compliant proposal submissions.

Qualifications

  • College degree in Public Relations, Business, Communications, or related field; or 4 years equivalent in related work experience.
  • 3+ years of related experience with supervisory responsibilities.
  • Ability to plan, organize and implement focus area programs.
  • Excellent skills in staff supervision and development, budget analysis, communication, and human relations.
  • 2+ years of experience in working in youth development or human service programs and/or activities is preferred.
  • 2+ years of experience in working in a nonprofit is preferred.
  • 2+ years of experience in working in donor or grant-funded programs is preferred.
  • Ability to motivate individuals, lead a team, and conduct training.
  • Ability to work with parents, children, and staff of diverse ethnic populations.
  • Adult and child CPR or CPR/PR, First Aid, and AED Certifications within 30 days of hire date.
  • Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
  • Commitment to inclusion and compliance with the Americans with Disabilities Act (ADA)
  • Bus Driver’s certification required within 3 months of hire, which include a valid driver’s license and clean traffic abstract.
  • Proficiency in Google Suite, Microsoft Office, Windows 10 and above, Canva, preferred.
  • Ability to operate other software applications as required.
  • Ability to travel from one location to another in a timely location required.

This position and its pay are dependent on the availability of funds and continuation of the contracted program. The current contract provides programming for June 2024 - July 2025 with the likely possibility of extension for an additional two years (until July 2027).
